Privacy policy

Who we are

Steady Dog Co. ("we", "us") is a dog training business in Brisbane, Queensland. It's a business name of Metaform Australia Pty Ltd, ABN 42 688 579 464. This policy explains what personal information we collect, why, who sees it, and how you can see or correct it. If you have a question about it, email hello@steadydogco.com.au.

What we collect

When you apply for an assessment: your first and last name, mobile number, email address, suburb and the best time to call. About your dog: its name, breed, age and weight, what you'd like help with, whether it has bitten or hurt anyone and whether the council is involved, how soon you need help, what you've tried before (including vet treatment), anything else you choose to tell us, and whether our prices are within reach for you right now.

With your consent: a record of what you agreed to (contact by phone, text and email, marketing emails, a call outside calling hours) and when you agreed.

About how you found us: the page you arrived on, the website that sent you, and campaign tags in the link, such as a Google or Facebook ad code. These tell us which ads work. They don't identify you on their own.

If you become a client: your address for sessions, notes from your assessment and sessions, your dog's written plan, your dog's vet details and vaccination status, payment records, and the messages we exchange. With your separate written consent, we also keep photos and video of training (see "Photos and video").

From calls: if you call us or we call you, the call is recorded and transcribed (see the next section).

We don't need and don't ask for sensitive information about you, such as your health. If you tell us a person was hurt, we don't ask for that person's details.

Calls, texts and our booking assistant

Some of our first calls and replies are handled by an AI booking assistant. It is part of our client management system, GoHighLevel, and it answers questions, books assessments and passes you to Mitch whenever you ask for a person. It works from our instructions and what you tell it. It doesn't decide on its own whether we can help your dog: that decision is always made by a person.

Calls are recorded and transcribed, and we say so at the start of every call. We keep recordings and transcripts so Mitch can review what was said and so we can improve how we answer. We keep them for 90 days, then they're deleted. We never pass a recording or transcript to anyone else, or to any other AI tool, except where the law requires it.

We call within the hours the law allows (weekdays 9 am to 8 pm and Saturdays 9 am to 5 pm, Brisbane time, never on Sundays or national public holidays), unless you have asked us to call you at another time.

Marketing

We only send you marketing emails if you tick the box that says so. Every one has a working unsubscribe, and we stop within 5 business days of you asking. Booking confirmations, reminders and messages about your program aren't marketing, and we send them while you're enquiring or a client.

You agree to us contacting you about your enquiry for up to 12 months. You can ask us to stop at any time: reply STOP to a text, or tell us on a call or by email.

Photos and video

We film training sessions so you can see exactly what was done. Video and photos are used beyond your own program, for example on our website or social media, only if you give separate written consent, at the level you choose. You can withdraw that consent at any time for anything not yet published, and we take down what we control.

Why we use your information

  • To understand your dog's situation and decide, with you, whether we're the right fit.
  • To contact you about your enquiry, book your assessment and run your program.
  • To keep everyone safe: knowing about bites or council orders before a session lets us plan it, or refer you to someone better placed to help.
  • To take payment and keep the records the law requires.
  • With your consent, to send you marketing emails and to use photos and video as you agreed.
  • To see which ads and pages bring enquiries, so we spend less on the ones that don't.

We don't sell your information, and we don't use it for anything you wouldn't reasonably expect from the above.

Who we share it with

  • The services that run our business: our client management system, which includes the booking assistant, texting, email and call recording (GoHighLevel); our payment and banking providers; and the cloud storage service we keep session video in. They handle your information for us, not for themselves.
  • Your vet, if your dog needs care during a session, using the authority you give us at enrolment.
  • A partner trainer or kennel, only if your dog's program involves one and you've agreed to it.
  • Our professional advisers, such as our accountant, insurer or lawyer, when they need it.
  • Authorities, where the law requires or allows it.

Information stored outside Australia

Our client management system and its booking assistant, messaging and call recording services may store and process your information outside Australia, including in the United States. We choose providers that protect it, and we remain responsible for how they handle it for us.

Our website, analytics and ads

Our website doesn't use analytics or advertising cookies at the moment. If we add them, we'll update this section first. The application form sends your answers only to our client management system.

How long we keep it

  • Enquiries that don't go ahead: 12 months after your last contact with us, then deleted.
  • Call recordings and transcripts: 90 days.
  • Client records, agreements and payment records: 5 years after your program ends, because tax law requires business records to be kept.
  • Photos and video: as your consent says, and taken down when you withdraw consent for anything not yet published.

Keeping it secure

Only the people who run Steady Dog Co. can see your information, in password-protected accounts with two-step sign-in. We don't keep enquiry details in spreadsheets, documents or personal email.

Seeing or correcting your information

Ask us, by email or phone, and we'll show you what we hold about you and correct anything that's wrong, usually within 30 days. We may ask you to confirm who you are first.

Complaints

If you're unhappy with how we've handled your information, tell us first at hello@steadydogco.com.au and we'll respond within 30 days. If you're still not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.

Changes

If we change this policy, we'll put the new version here with its date. Last updated: 24 October 2026.
